Privacy Policy

Introduction

Hey there - thanks for taking the time to read through our privacy stuff. Look, we get it, nobody really wants to read legal documents when they could be hitting PRs instead. But this matters to us because your trust matters.

At Halcyon Forge Fitness, we've built our reputation on being straight-up honest with our members. That same approach applies to how we handle your personal information. We're not some faceless corporate gym chain - we're your local strength training facility right here on Granville Street, and we take your privacy seriously.

This policy explains what info we collect when you train with us, why we need it, and what we do (and don't do) with it. We'll keep the legal jargon to a minimum and just give it to you straight.

What Data We Collect

Here's the deal - we only collect what we actually need to run the gym and provide you with solid training services. Nothing weird or invasive.

Personal Contact Info

Your name, email, phone number, and address. Basic stuff we need to reach you about your membership, class changes, or if you left your water bottle at the gym again.

Health & Fitness Data

When you work with our coaches, we'll track things like your lifting numbers, body composition changes, injury history, and training goals. This helps us program effectively and keep you progressing safely. We're not sharing your squat max with anyone - that stays between you and your coach.

Payment Information

Credit card details for membership fees and session purchases. We use secure third-party processors for this - we don't actually store your full card numbers on our systems.

Facility Usage Data

Check-in times, class attendance, and which programs you're enrolled in. Helps us manage capacity and figure out when we need more racks available.

Website Interactions

Standard web stuff - IP address, browser type, pages you visit on our site. Helps us fix technical issues and improve the user experience.

How We Use Your Information

We're not collecting data just to have it sitting on a server somewhere. Everything we gather has a practical purpose for your training experience:

  • Running Your Membership: Processing payments, managing your account, sending renewal reminders.
  • Coaching & Programming: Creating personalized training plans, tracking your progress, adjusting your program based on results.
  • Communication: Sending you class schedules, facility updates, occasional tips from our coaches. We won't spam you - promise.
  • Safety & Liability: Keeping records of waivers, injury reports, and emergency contact info in case something happens.
  • Improving Our Services: Analyzing what programs are popular, when the gym's busiest, what equipment needs upgrading.
  • Legal Requirements: Sometimes Canadian law requires us to keep certain records for specific periods.

Who We Share Data With (Spoiler: Almost Nobody)

We're not selling your email list to supplement companies or sharing your training data with random third parties. Here's the complete list of who might see your info:

Our Staff

Your coaches and our front desk team need access to relevant info to do their jobs. They're all bound by confidentiality agreements.

Payment Processors

Companies like Stripe or Square that handle the actual credit card transactions. They're PCI compliant and know their security stuff.

Legal Obligations

If law enforcement shows up with a valid warrant, or if Canadian law requires disclosure, we'll comply. But we'll also fight to protect your privacy within legal bounds.

Emergency Situations

If there's a medical emergency, we'll share necessary info with paramedics or hospital staff. Your safety comes first.

That's it. We don't sell data. We don't trade it. We don't use it for anything beyond running a solid training facility.

How We Keep Your Data Secure

We take security seriously because nobody wants their personal info floating around the internet. Here's what we do:

Encrypted Storage

All digital data is encrypted both in transit and at rest.

Secure Access

Staff access is limited based on their role and need.

Physical Security

Paper records are kept in locked cabinets in secure areas.

Regular Updates

We keep our systems patched and security protocols current.

Look, no system is 100% hack-proof - anyone who tells you otherwise is lying. But we're doing everything reasonable to protect your stuff.

Cookies & Tracking Technology

Our website uses cookies - not the protein kind, unfortunately. These are small files that help the site work properly and remember your preferences.

Essential Cookies

These keep the site functional - like remembering you're logged in or what's in your cart. Can't really turn these off if you want the site to work.

Analytics Cookies

Help us understand how people use the site so we can make it better. We use basic analytics to see which pages get visited most, where people get stuck, etc.

You can disable cookies in your browser settings, but some parts of the site might not work right. We don't use any creepy advertising trackers that follow you around the web.

Your Privacy Rights

Under Canadian privacy law (PIPEDA), you've got some solid rights regarding your personal data. Here's what you can do:

You can request a copy of what personal information we have on file for you. Just shoot us an email and we'll get it to you within 30 days.

If we've got something wrong - like an old phone number or incorrect address - let us know and we'll fix it ASAP.

Want us to delete your info? We can do that once your membership is cancelled, except for stuff we're legally required to keep (like financial records for tax purposes).

Don't want our newsletters or updates? No worries - there's an unsubscribe link in every email. You'll still get essential stuff about your membership though.

Moving to a different gym? You can get your training data in a format you can take with you.

How Long We Keep Your Data

We don't keep stuff forever just for the sake of it. Here's our general approach:

  • Active Memberships: We keep all your data current while you're training with us.
  • Cancelled Memberships: Training records and personal info are deleted 12 months after you leave (unless you ask us to keep them for your reference).
  • Financial Records: Canadian tax law requires we keep these for 7 years. Not our choice.
  • Liability Waivers: We hold onto these for 7 years for legal protection.
  • Marketing Lists: If you unsubscribe, you're gone from our system within 10 days.

Children's Privacy

We work with youth athletes (typically 13+), but always with parental consent for anyone under 18. If you're a parent or guardian, you've got full rights to access, correct, or delete your kid's information. We take extra care with younger members' data and never use it for marketing purposes.

Terms of Service

Alright, here's the deal with how our gym operates. Think of this as the ground rules we all agree to so everyone can train safely and effectively.

Membership Terms

When you sign up, you're committing to our membership agreement terms. Month-to-month memberships require 30 days notice for cancellation. Annual memberships are non-refundable but can be frozen for up to 60 days per year with medical documentation.

Facility Rules

Respect the equipment, respect other members, and follow coach instructions. We're all here to get stronger - that only works if everyone plays by the same rules. Chalk stays in designated areas, weights get reracked, and if you're attempting a new PR, grab a spotter.

Liability Waiver

Strength training involves inherent risks. You're acknowledging those risks and agreeing not to hold us liable for injuries that occur from normal training activities. We maintain proper insurance and follow safety protocols, but you're responsible for listening to your body and training within your limits.

Payment Terms

Memberships are charged automatically on your billing date. Failed payments result in suspended access until sorted out. Personal training sessions must be cancelled at least 24 hours in advance or you'll be charged for the session.

Code of Conduct

We're building a community here, not just renting floor space. Harassment, discrimination, or aggressive behavior gets you kicked out - no refunds. We're serious about maintaining a welcoming environment for all members regardless of their strength level, body type, or training experience.

Program Modifications

We reserve the right to modify class schedules, programs, or facility hours with reasonable notice. If we make major changes that affect your membership value, you'll have the option to cancel without penalty.

Changes to This Policy

Privacy laws change, our business evolves, and sometimes we need to update this policy. When we do make changes, we'll post the updated version here with a new "Last Updated" date at the top.

For minor tweaks and clarifications, we'll just update the page. For significant changes that affect how we handle your data, we'll send you an email heads up at least 30 days before the new policy takes effect.

If you don't agree with the changes, you can cancel your membership before they go into effect. Continuing to use our services after the new policy is in place means you're cool with the updates.
