Hey there - thanks for taking the time to read through our privacy stuff. Look, we get it, nobody really wants to read legal documents when they could be hitting PRs instead. But this matters to us because your trust matters.
At Halcyon Forge Fitness, we've built our reputation on being straight-up honest with our members. That same approach applies to how we handle your personal information. We're not some faceless corporate gym chain - we're your local strength training facility right here on Granville Street, and we take your privacy seriously.
This policy explains what info we collect when you train with us, why we need it, and what we do (and don't do) with it. We'll keep the legal jargon to a minimum and just give it to you straight.
Here's the deal - we only collect what we actually need to run the gym and provide you with solid training services. Nothing weird or invasive.
Your name, email, phone number, and address. Basic stuff we need to reach you about your membership, class changes, or if you left your water bottle at the gym again.
When you work with our coaches, we'll track things like your lifting numbers, body composition changes, injury history, and training goals. This helps us program effectively and keep you progressing safely. We're not sharing your squat max with anyone - that stays between you and your coach.
Credit card details for membership fees and session purchases. We use secure third-party processors for this - we don't actually store your full card numbers on our systems.
Check-in times, class attendance, and which programs you're enrolled in. Helps us manage capacity and figure out when we need more racks available.
Standard web stuff - IP address, browser type, pages you visit on our site. Helps us fix technical issues and improve the user experience.
We're not collecting data just to have it sitting on a server somewhere. Everything we gather has a practical purpose for your training experience:
We take security seriously because nobody wants their personal info floating around the internet. Here's what we do:
All digital data is encrypted both in transit and at rest.
Staff access is limited based on their role and need.
Paper records are kept in locked cabinets in secure areas.
We keep our systems patched and security protocols current.
Look, no system is 100% hack-proof - anyone who tells you otherwise is lying. But we're doing everything reasonable to protect your stuff.
Under Canadian privacy law (PIPEDA), you've got some solid rights regarding your personal data. Here's what you can do:
We don't keep stuff forever just for the sake of it. Here's our general approach:
We work with youth athletes (typically 13+), but always with parental consent for anyone under 18. If you're a parent or guardian, you've got full rights to access, correct, or delete your kid's information. We take extra care with younger members' data and never use it for marketing purposes.
Alright, here's the deal with how our gym operates. Think of this as the ground rules we all agree to so everyone can train safely and effectively.
When you sign up, you're committing to our membership agreement terms. Month-to-month memberships require 30 days notice for cancellation. Annual memberships are non-refundable but can be frozen for up to 60 days per year with medical documentation.
Respect the equipment, respect other members, and follow coach instructions. We're all here to get stronger - that only works if everyone plays by the same rules. Chalk stays in designated areas, weights get reracked, and if you're attempting a new PR, grab a spotter.
Strength training involves inherent risks. You're acknowledging those risks and agreeing not to hold us liable for injuries that occur from normal training activities. We maintain proper insurance and follow safety protocols, but you're responsible for listening to your body and training within your limits.
Memberships are charged automatically on your billing date. Failed payments result in suspended access until sorted out. Personal training sessions must be cancelled at least 24 hours in advance or you'll be charged for the session.
We're building a community here, not just renting floor space. Harassment, discrimination, or aggressive behavior gets you kicked out - no refunds. We're serious about maintaining a welcoming environment for all members regardless of their strength level, body type, or training experience.
We reserve the right to modify class schedules, programs, or facility hours with reasonable notice. If we make major changes that affect your membership value, you'll have the option to cancel without penalty.
Privacy laws change, our business evolves, and sometimes we need to update this policy. When we do make changes, we'll post the updated version here with a new "Last Updated" date at the top.
For minor tweaks and clarifications, we'll just update the page. For significant changes that affect how we handle your data, we'll send you an email heads up at least 30 days before the new policy takes effect.
If you don't agree with the changes, you can cancel your membership before they go into effect. Continuing to use our services after the new policy is in place means you're cool with the updates.
If you've got questions about this privacy policy, want to exercise your data rights, or just want to chat about how we handle your info - we're here for it.
